Chicago Chapter Committee Chairs and REsponsibilities!

In order to continue to grow our chapter and the programs we offer, the Steering Committee needs your help and your skill set. We are hoping to add 2-3 TTN Chicago members to our Steering Committee in 2021.  Email us here for application.

Steering Committee Roles and Responsibilities (updated 12-2020)

Chair (and Secretary): Kimberly Mulcahy
Responsibilities

  • Serve as liaison with TTN National and participate in monthly and ad-hoc Chapter Leaders calls. Share all pertinent information with Steering Committee members. Review TTN National weekly membership updates and monthly chapter reconciliation report; coordinate Steering Committee orientations and training on TTN tools (website, Facebook, Zoom, Survey Monkey). 
  • Aspire to grow and engage chapter membership. Promote and preserve TTNs Vision, Mission and Values.
  • Ensure all chapter activities are aligned with chapter governance, diversity, and other policies.
  • Monitor and respond to or forward (to committee chairs) any emails to ChicagoChapter@TheTransitionnetwork.org Gmail account.
  • Lead and support Steering Committee (SC). Participate in and ensure SC meetings and calls occur on regular basis (meetings every month, +ad hoc calls and emails). Capture notes and follow ups to share with SC. Support committees as needed.  Ensure communication flow to SC on all Chapter and TTN National related matters.
  • Maintain and share accurate lists of active members, event participants, contact lists, etc.
  • Serve as spokesperson for the Chapter with media.
  • Update TTN website.
  • Participate in TTN National Committees as needed.
 
Preferred Knowledge, Skills, and Experience
  • Prior business and/or non-profit leadership/board experience
  • Proficient in use of technology, including Word, Excel, PowerPoint, Outlook, Google Docs, and Zoom
  • Strong communication skills – written and oral
  • Strong collaboration and interpersonal skills and team player with Steering Committee members
  • Experience and interest in public speaking, networking
  • Enthusiasm and familiarity with TTN’s vision, mission and values.
  • Knowledge of the TTN Chicago Chapter offerings.
 
Expectations
  • Actively promote TTN chapter to build membership and awareness
  • Attend/participate in most TTN chapter programs, actively participate in chapter SIGs
  • Attend/lead at least 80% of Chapter SC meetings
  • Participate in at least 75% of Chapter Leader calls
 

Vice Chair/Secretary: Open
Responsibilities

  • Record minutes of SC meeting, capture and distribute any follow up action items.
  • Maintain calendar of SC meetings
  • Support Chair in Chapter activities; be prepared to lead SC meetings and participate in Chapter Leaders calls if Chair is not available.
 
Preferred Knowledge, Skills, and Experience
  • Prior business and/or non-profit leadership/board experience
  • Proficient in use of technology, including Word, Excel, PowerPoint, Outlook, Google Docs, and Zoom
  • Strong Interpersonal skills and team player with Steering Committee members
  • Interest in public speaking and networking

Treasurer, Finance Chair:  Emma Kalaidjian
Responsibilities

  • Track revenue and expenses
  • Complete monthly finance reconciliation and report to national
  • Create monthly finance report, event P & L statements
  • Manage reimbursements for out-of-pocket expenses
  • Manage refunds as needed on TTN Website
  • Develop budget and present to SC for review and approval
  • Submit annual budget on Google Sheets (or other similar spreadsheet once financial tools are updated) to National
 
Preferred Knowledge, Skills, and Experience
  • Understanding of basic financial principles, income and expenses, budgeting, managing/reconciling account balances
  • Proficient in use of technology, including Excel, PowerPoint, Outlook, Google Sheets, Google Docs, and TTN Website Order Processing/Admin function
  • Enthusiasm and familiarity with TTN’s vision, mission, and values.
  • Knowledge of the TTN Chicago Chapter offerings
 
Expectations
  • Provide timely and accurate reports on financial health of the chapter
  • Liaise with National TTN Director and Finance Committee as needed
  • Attend/participate in TTN chapter programs, actively participate in chapter SIGs
  • Attend at least 75% of Chapter SC meetings

 

Membership and Recruitment Committee Chairs: Roni Buckley and Joy Loverde
Responsibilities

  • Demonstrate enthusiasm and familiarity with TTN
  • Design recruitment efforts and present to Steering Committee for approval
  • Lead recruitment efforts to attract new members
  • Collaborate with Programming to ensure that engaging programs enhance membership renewals and potential membership possibilities
  • Be proactive in learning of TTN National and Chicago Chapter offerings
  • Recruit and manage Chapter Ambassadors and related activities; introduce each new TTN member to an Ambassador via a Welcome email and provides contact information.
  • Promote memberships at events
  • Participate in promoting all events

  • Leadership in motivating Ambassadors, TTN members, and guests

Member Ambassador Responsibilities (part of Membership Committee)
Responsibilities

  • Lead onboarding and orientation efforts for new TTM Chicago members, and ensure new members’ interests and needs are met
  • Warmly welcome new members and connect them to relevant activities and members.
  • Contact new members to arrange for a meeting, if possible, in person. Occasionally a phone orientation-welcome is used when more convenient for the new member.
  • Find activities particularly geared to new member’s interest to encourage engagement in TTN.  These activities are included in the assignment with current dates.
  • Report back to Membership Committee by email as to outcome of outreach to new members.
  • Advise Membership Committee if unable to solicit a response from any assigned new member.
  • Work with new member for a period of three months.
 
Preferred Knowledge, Skills, and Experience
  • Computer skills – Zoom and Outlook
  • Enthusiasm and familiarity with TTN.
  • Knowledge of the TTN Chicago Chapter offerings.
  • Stays updated on changing information posted on the chapter website.
Expectations
  • Responds to new member assignments promptly.
  • Ensures that Membership Committee is aware of any issues or concerns related to you by the new member, particularly if you cannot resolve them directly.
  • Notifies Membership Committee of periods of time unavailable as Ambassador.
 

Programming Chair: Helene Stelian
Responsibilities:

  • Survey TTN Chicago members (and others on list) for topic/format/timing/location preferences
  • Organize at least 4 quarterly programs per year tailored to interests of TTN Chicago members (with consideration for interests of potential members on our list)
  • Collaborate with SC members and committees to identify fresh programming, assign/coordinate responsibility for other programs and events throughout the year.
  • Ensure those responsible for programs/events send reminder notices to participants
  • Coordinate and/or support arrangements for outside presenters
  • Recommend program/event pricing structure for members and non-members
  • Recruit volunteers to assist with logistics and coordination of in-person programs
  • Create and manage Program Calendar and Google Docs
  • Evaluate program attendance and responses to inform future programming decisions
  • Put seamless process in place from program planning through program evaluation
  • Liaise with TTN National Programming Committee and participate in meetings as scheduled

Marketing Communications Chair (includes Internet and Social Media channels): Dorothy Balabanos (with support from Kimberly Mulcahy, Joy Loverde and other members)
Responsibilities

  • Lead the development of a marketing communications plan designed to raise awareness of TTN Chicago and to support the initiatives of the Steering Committee Members
  • Write and pitch press releases and story ideas to local and neighborhood media
  • Ensure consistency in the content, look and tone of communications (including social media) associated with TTN Chicago
  • Assist Program Chair, SIG facilitators and event planners with drafting compelling copy
  • Collaborate with Steering Committee members to ensure their activities are properly promoted in various channels, work with marketing committee members to create effective communications in email/Constant Contact and Facebook to build and engage membership
  • Evaluate the effectiveness of marketing communications program
 
 Preferred Knowledge, Skills, and Experience
  • Prior corporate or non-profit marketing, public relations experience preferred
  • Knowledge of Social Media channels
  • Ability to keep organized marketing calendar
  • Strong communication skills – written and oral
  • Graphic design skills and/or good sense of design a plus
  • Strong Interpersonal skills and team player with Steering Committee members
  • Leadership in motivating marketing committee members
  • Computer skills – Excel, Google Docs, Zoom, Outlook, and the TTN website
 
 Expectations
  • Provide updates on Marketing activities
  • Liaise with National TTN Director as needed
  • Organize periodic planning meetings with Marketing Committee members
  • Attend at least 75% of Chapter SC meetings

 

Special Interest Groups Coordinator: Ann-Marie Downing
Responsibilities

  • Lead the creation of Special Interest Groups, identify and train SIG facilitators, and collaborate with Steering Committee Members on support services (i.e. Marketing Communications)
  • Develop and propose idea for new Special Interest Groups, collaborating with Steering Committee Members and TTN Chicago members, as appropriate
  • Support facilitators in building membership, encouraging participation and engagement, tracking attendance
  • Organize regular check-ins with facilitators (semi-annually), and facilitator appreciation/recognition
 
Peer Groups Coordinator: Open
  • Encourage formation of Transition Peer Groups, identify facilitators, understand TTN Peer Group guidelines and best practices,  collaborate with Steering Committee Members on support services (i.e. Marketing Communications)
  • Support facilitators in building membership, encouraging participation and engagement, tracking attendance
  • Organize regular check-ins with facilitators (semi-annually), and facilitator appreciation/recognition
 
Coordinator Preferred Knowledge, Skills, and Experience
  • Ability to maintain organized list of groups on TTN Website Dashboard
  • Strong communication skills – written and oral
  • Strong Interpersonal skills interacting with facilitators and Steering Committee members
  • Computer skills – Excel, Google Docs, Zoom, Outlook, and the TTN website
 
 Expectations
  • Provide timely updates on group developments
  • Attend/participate in TTN chapter programs, actively participate in chapter SIGs
  • Attend at least 75% of Chapter SC meetings
 

Community Impact Committee Coordinator: open (with support from Ann Marie, Roni and other members)
Responsibilities

  • Encourage TTN members to give back to the community, organize committee to identify and work with  community non-profits that are aligned with members’ interests, set giving or volunteering goals
  • Organize and report on volunteering events and activities throughout the year
  • Keep members apprised of volunteer opportunities and encourage participation
  • Work with Marketing Chair to promote activities
  • Partner with other organizations where appropriate
 
Preferred Knowledge, Skills, and Experience
  • Ability to maintain organized list of volunteer opportunities, donations, and volunteer hours to report to SC and annually to TTN National for Annual Report
  • Strong communication skills – written and oral
  • Strong Interpersonal skills interacting with facilitators and Steering Committee members
  • Computer skills – Zoom

  • Provide timely updates on Community Impact activities
  • Attend/participate in TTN chapter Community Impact programs
